What a CRM implementation actually costs for a 10 person team

A cost model comparing year one and year two CRM totals for ten users across five vendors

Every article about CRM implementation cost for a small team gives a range. Five thousand to fifty thousand. Helpful to nobody.

Here is the arithmetic. Ten users, annual billing rates, every published price multiplied out, year one including the onboarding fees you cannot refuse, and year two without them. All figures as of September 2026, all sourced.

Then the more useful half: the costs nobody publishes, and the three clauses that quietly decide what this costs over three years.

Two notes. Close Solo is absent because it is hard capped at one user. And Salesforce appears twice at the top end because it restructured its editions on 3 September 2026: US pages now show Core $195, Advanced $395 and Max $550, while other Salesforce pages still show Enterprise $175 and Unlimited $350. Existing customers on legacy editions keep their pricing. Ask which your quote is for.

So the honest spread for ten users is roughly $840 a year to $47,400, before add ons.

I have not multiplied the Pipedrive add ons by ten, because the published unit on those starting prices is not clear enough from the page to do so responsibly.

The Salesforce line is the one to stare at. Premier support at 30% of net licence fees is a percentage, not a fee, so it grows with every seat forever. On Core for ten people the real annual figure is $23,400 in licences plus $7,020 in support plus $6,000 if your team needs Sales Engagement. That is $36,420 a year, against a headline of $195 per user a month. Salesforce publishes no sandbox, API call or storage prices at all.

One more check before planning around a cheap Salesforce tier: Starter allows zero custom objects, zero custom apps and zero custom tabs, and Pro Suite caps you at five total and five active Flows. Five automations is not many.

What nobody publishes: data migration

The section other articles will not write.

No CRM vendor publishes a list price for data migration. Not HubSpot, not Salesforce, not Zoho, not Pipedrive, not Close. HubSpot and Salesforce quote it privately, case by case, after looking at your data.

Which means every dollar figure you have read online for CRM data migration is unsourced. Not necessarily wrong, just unverifiable. Somebody's average, reprinted without a citation until it looked like a market rate. If an article says "expect to pay X for migration", ask where X came from.

The only published, verifiable implementation fees here are HubSpot's mandatory onboarding charges: $1,500 at Sales Hub Professional, $3,500 at Sales Hub Enterprise, $3,000 at Marketing Hub Professional and $7,000 at Marketing Hub Enterprise. HubSpot's catalog states that "Onboarding is required for a one time fee of $3,000 / $7,000". Not an upsell, a line on the order form.

What I can tell you is what drives migration rather than what it costs. How clean your data is. Whether your current system has a real export. How many years of history you need. Whether you are also redesigning your pipeline stages, which is two projects wearing one coat.

The contract clauses that cost real money

All three are published and all three surprise people.

Salesforce: you cannot shrink mid term. The Main Services Agreement states that "quantities purchased cannot be decreased during the relevant subscription term". It also states that payment obligations cannot be cancelled and fees paid are not returned, and that agreements auto renew for further one year terms unless you give 30 days written notice. Pro Suite, Core, Advanced and Max are annual contract only. Buy ten seats, lose two people in March, pay for ten until renewal. Salesforce Main Services Agreement.

HubSpot: the same rule, plus no mid term downgrade at all. Its terms state that "You are not permitted to downgrade your Subscription Service during your Current Term", and that "you may not cancel your subscription prior to the end of your Current Term, and we will not provide any refunds of prepaid fees or unused Subscription Fees". On seats, "the total count can't be reduced until your next renewal date". HubSpot terms of service.

Pipedrive: fees are not refunded. Its terms state that all fees are not refundable, that downgrading produces no refund of the price difference, and that cancellation does not take effect until your next renewal date. Pipedrive terms of service.

Same pattern everywhere. Annual billing buys a discount and removes your ability to correct a mistake for twelve months. The monthly premium is the price of changing your mind, and Zoho, Close and GoHighLevel offer it at every tier.

Questions to ask a vendor before you sign

Copy these into an email to whoever is quoting you.

  1. Is onboarding mandatory on this plan, and what is the exact one time fee?
  2. Which edition name is this quote for, and is that current or legacy?
  3. What is the total for year two, no onboarding and no discounts, at this same headcount?
  4. Is support included at this tier, or priced as a percentage of my licences?
  5. Which features from the demo are add ons, and what does each cost per user per month?
  6. Can I reduce seat count mid term, and if not, when is the first date I can?
  7. What is included in migration, how many records and years, and what happens if the data is

messier than expected?

  1. What is the notice period to avoid auto renewal, and what date does that fall on?

Any vendor who will not answer question three in writing is telling you something.

The honest summary

The licence is what everybody compares and rarely what hurts. What hurts is support priced as a percentage, a feature you assumed was included turning out to be $50 per user a month, an onboarding fee you meet at the order form, and a twelve month term you cannot shrink out of.

You can do this arithmetic yourself in an afternoon, and I would rather you did. Pick two platforms, multiply the annual rate by your headcount, add the published add ons you need, then read the three clauses above.

Is annual billing worth the discount?

It depends how certain you are. Close gives the steepest annual discount here. But annual billing on Salesforce, HubSpot and Pipedrive locks quantity and tier for twelve months with no refunds. For a first CRM, paying monthly on Zoho or Close for a quarter is cheap insurance.

Which CRM has the lowest total cost in year two?

Year two is where onboarding drops out and the licence is the whole story. For ten users that is $840 on HubSpot Sales Hub Starter, $1,680 on Zoho Standard or Pipedrive Lite, and $2,760 on Zoho Professional. A year one to year two gap exists only at HubSpot Professional and Enterprise.
